We provide superior service and quality by going the extra mile for our patients, their families and our coworkers.Job Duties/Essential FunctionsJob DutiesMaintains calendar and distribution lists, distributes mail and takes phone messages for Directors; coordinates travel plans for Director/Medical Director.Maintains copy room, including office supply inventory. Replenishes water, soda and kitchen supplies.Gathers and codes invoices for approval and signature for Director.Develops and coordinates schedules for various meetings and recruitment interviews; coordinates refreshments and equipment orders for meetings.Organizes and assembles special reports, surveys, newsletters, policy manuals, etc.; completes special projects as assigned by management staff.Conducts research upon request of Director.Prepares power point presentations for Director/Medical Director.Coordinates and communicates with MMC Administration and System Administrators.Attends meetings as requested to take notes and scribe minutes for Director/Medical Director.Keyboards accurately and with at least average speed to create and format office documents using information or data provided.Organizes and maintains a filing system that assures the maintenance and availability of written communication.Provides back-up coverage for other administrative assistants as necessary.Follows Mercy's safety guidelines, carries out job-specific safety duties and responsibilities, and promptly reports any unsafe conditions, situations, incidents and injuries.Department Specific DutiesAnswers and directs all calls on main line (369-4500); screens and transfers calls or messages after identifying the most appropriate contact; provides back-up coverage for Find-a-Doc line.Generates and distributes monthly provider satisfaction survey reports and weekly comment reports.Arranges transfer of medical records for closed practices.Assembles quality data into scorecards and distributes to providers.Assists with gathering R.O.S.E. award nominations and organizing recognition event.Knowledge, Skills and AbilitiesMulti-line phone skillsMicrosoft Office knowledgeGeneral office equipment skills such as copier, fax, scanner and printerCommunication skills, written and verbalWork positively with administrative teamProfessional ExperienceThree or more years experience working in an office support position preferred.EducationHigh school diploma or GED required.Licensure, Certification, RegistrationMicrosoft Office certification preferred.Physical Activity RequirementsConstant = 67-100% of workdaySittingFingeringTalkingHearingRepetetive MotionFrequent = 34-66% of workdayNAOccasional = 33% or less of workdayReachingStandingWalkingLiftingBalancingStoopingKneelingCrouchingPushingPullingGraspingFeelingClimbingHandlingVisual AcuityWork requires close vision, distance vision, depth perception and ability to adjust focus.Ability to read pertinent printed material and distinguish colors.Ability to read management reports or other pertinent printed material.Work requires analyzing data and figures, use of computer terminal and extensive reading.Normal visual acuity required to maintain accuracy and neatness of work.Preparing and reading written documentation, use of computer.Peripheral vision.Intellectual/Emotional RequirementsAdaptability to performing under stress when confronted with emergent, critical, unusual, or dangerous situations, or situation in which working speed and sustained attention are make-or-break aspects of the job.Adaptability to performing a variety of duties, often changing from one task to another without loss of efficiency or composure.Ability to maintain both a high standard of courtesy and cooperation in dealing with co-workers, patients and visitors and satisfactory job performance despite the stress of a hospital work environment.Adaptability to accepting responsibility for the direction, control or planning of an activity.Adaptability to situations requiring the precise attainment of set limits, tolerances or standards.Demonstrates knowledge and skills necessary to interact with patient populations; e.g.infant, pediatric, adolescent, adult and geriatric.Ability to perform under stress when confronted with emergency, critical, or unusual situations.Ability to make generalizations, evaluations or decisions based on measurable or verifiable criteria; e.g. patient assessment and/or equipment performance.Adaptability to performing repetitive work or to performing continuously the same work, according to set procedures sequence or pace.Adaptability to dealing with people beyond giving and receiving instructions.Able to communicate with people regarding giving and receiving of instructions.Adaptability to changing priorities.Adaptability to fluctuate between priorities on a daily basis; e.g. answering the phone, pulling charts, filing charts, copying charts and helping answer questions for ancillary staff.
